RECEPTIONIST / ADMINISTRATIVE ASSISTANT I

Yearly Salary:  $39,000 to $47,800

GENERAL JOB DESCRIPTION

Performs tasks to support daily office operations.  This position will be filled by a reliable, organized and welcoming team player.  The Receptionist/Administrative Assistant will serve as the first point of contact for our office and will manage daily front-desk operations, must have exceptional communication skills, and will provide critical administrative support to ensure a seamless and productive environment for staff and visitors.

Job Responsibilities

  • Greet clients and guests professionally, ensuring they are directed to the correct staff member.
  • Answer, screen, and route incoming calls on a multi-line phone system, taking accurate messages and responding to general inquiries
  • Receive and processes requests for needed office repairs.
  • Provide Administrative Assistance to staff as needed
  • Maintain office directories
  • Maintain Schedule for Conference Rooms, Coordinate calendars, schedule meetings, order meals as required and assist in preparing conference rooms for guests.
  • Make Travel Arrangements
  • Certificates of Insurance – Maintain copies of current Insurance Certificates for all active projects
  • Monitor and restock office supplies coffee bar areas, boardroom and toner for printers. Maintain printing areas and conference rooms
  • File Invoices and documents
  • Issue badges and monitor In/Out logs.
  • Manage, sort, and distribute incoming/outgoing mail, packages, and courier deliveries. Maintain postage meter

 

Technical Skills

  • Office Software: High proficiency in Microsoft 365 (Word, Excel, PowerPoint)
  • Calendar Management: Expertise in scheduling tools like Microsoft Outlook to organize meetings, book boardrooms, and avoid scheduling conflicts.
  • Communications: Comfort navigating multi-line phone systems, setting up virtual meeting platforms (Zoom, Teams), and operating office equipment (scanners, printers).

 

Qualifications & Requirements – 1-3 years of proven experience as a receptionist; front desk representative, or in a general administrative support role.
